This Privacy Notice for Voluncheer (“we”, “us”, or “our”) describes how and why we might access, collect, store, use, and/or share your personal information when you use our services (“Services”), including when you visit our website at voluncheer.app or any website of ours that links to this Privacy Notice, or use Voluncheer.

Voluncheer is a social platform for volunteers to log, share, and celebrate their volunteer work. Users can record volunteer activities, follow other members, and give and receive social recognition (such as “cheers” and comments) on shared activities. Partner organisations can verify that a logged activity took place using QR codes generated through the platform. Voluncheer helps individuals, particularly students and young adults, track their volunteering history and build a public or private record of their community impact.

Reading this Privacy Notice will help you understand your privacy rights and choices. We are responsible for making decisions about how your personal information is processed. If you do not agree with our policies and practices, please do not use our Services.

1. What information do we collect?

Personal information you disclose to us. We collect personal information that you voluntarily provide when you register on the Services, express an interest in our products, participate in activities on the Services, or otherwise contact us. This may include your name, email address, username, and password. We do not process sensitive personal information (such as racial or ethnic origin, sexual orientation, or religious beliefs).

If you register or log in using a social media account, we will receive certain profile information from that provider — see “How do we handle your social logins?” below.

Information automatically collected. We automatically collect certain information when you visit or use the Services, such as your IP address, browser and device characteristics, operating system, and log and usage data. This is used to maintain the security and operation of the Services and for internal analytics. We do not collect any information about you from third parties.

2. How do we process your information?

We process your personal information for a variety of reasons, depending on how you interact with our Services, including to:

  • Facilitate account creation, authentication, and account management.
  • Deliver and improve the Services you request, such as logging volunteer activities and social features.
  • Respond to your inquiries and provide support.

  • Enable communication between users (for example, comments and cheers).
  • Request feedback and understand how the Services are used, so we can improve them.

We process your information only when we have a valid legal reason to do so.

3. When and with whom do we share your personal information?

  • Business transfers. In connection with, or during negotiations of, any merger, sale of assets, financing, or acquisition of all or part of our organisation.
  • Other users. When you share information by posting comments, activities, or other content on the Services, that content may be viewed by other users as governed by your profile and activity privacy settings.

We do not sell your personal information, and we do not share it with advertisers.

4. Do we use cookies and other tracking technologies?

We may use cookies and similar tracking technologies to keep you signed in, maintain the security of the Services, and understand how the Services are used through analytics. We do not use tracking technologies for third-party advertising.

5. How do we handle your social logins?

Our Services may offer you the ability to register or log in using a third-party social media account. Where you choose to do this, we will receive certain profile information from that provider, such as your name, email address, and profile picture. We use this information only for the purposes described in this Privacy Notice. We do not control, and are not responsible for, how your social media provider uses your information — please review their privacy notice separately.

6. How long do we keep your information?

We keep your personal information for as long as necessary to fulfil the purposes outlined in this Privacy Notice, unless a longer retention period is required by law. In practice, this means we retain your information for as long as you maintain an account with us. When you delete your account, we delete or anonymise your personal information, except where we are required to retain certain records to comply with legal obligations or resolve disputes.

7. How do we keep your information safe?

We have implemented appropriate technical and organisational security measures designed to protect your personal information. However, no electronic transmission over the internet or storage technology can be guaranteed to be 100% secure, so we cannot promise that unauthorised third parties will never be able to defeat our security measures.

8. What are your privacy rights?

You may review, update, or delete your account information at any time from your account settings, or by contacting us. If we are relying on your consent to process your information, you have the right to withdraw that consent at any time by contacting us using the details below — this will not affect the lawfulness of processing before the withdrawal.

You can unsubscribe from marketing or promotional communications at any time using the unsubscribe link in those emails, or by contacting us. We may still send you service-related messages necessary for administering your account.

9. Controls for Do-Not-Track features

Most web browsers include a Do-Not-Track (“DNT”) feature you can activate to signal your privacy preference. As no uniform standard for recognising and implementing DNT signals has been finalised, we do not currently respond to DNT browser signals. If a standard is adopted that we must follow, we will update this notice accordingly.

10. Do other regions have specific privacy rights?

Australia and New Zealand.We collect and process your personal information under the obligations and conditions set by Australia’s Privacy Act 1988 and New Zealand’s Privacy Act 2020. You have the right to request access to, or correction of, your personal information by contacting us using the details in section 12 below.

If you believe we are unlawfully processing your personal information, you have the right to complain to the Office of the Australian Information Commissioner (OAIC) or the Office of the New Zealand Privacy Commissioner, as applicable.

11. Do we make updates to this notice?

Yes, we will update this notice as necessary to stay compliant with relevant laws. The updated version will be indicated by a revised “Last updated” date above. We encourage you to review this Privacy Notice periodically.
